You are required by law to have a privacy statement on your website if you do e-commerce. This statement will communicate your practices for how you handle and protect the sensitive information you collect from your shoppers. You should also have on your website all of your policies on things like how you charge for shipping, how you handle returns, exchanges, and refunds, and what to do with merchandise that gets damaged or lost during shipping.

 

Create Your Privacy Statement & Policies Page

  1. Go to Website > Pages and click the +New Web Page button.
  2. Title your page and add an SEO Title and SEO Description, then Save.
  3. You'll be taken back to your Pages list, find the new page in the list and click to open it.
  4. At the top of the Website Editor, click + Add Content, click Add Body Content.

  1. Click the Add button for the Content module, the Content Editor will open.
  2. Copy and paste your Privacy Statement into the Editor or compose it, and once you're done, click Save.
  3. Repeat steps 4 - 6 for your Policies.
  4. Go back to Website > Pages and find your page in the list, then click on the Blue Cloud button on the right to publish the page.

The Admin Tools

This is the heart of the system, and you can access all of the functions and features of the system from the menus and buttons here. The buttons down the left side are the major modules, data tools, and reports of the system. Across the top are some useful utilities such as the system search, configuration and settings tools, Support, and some administrative functions such as the Time Clock.

 

System Home

The system Home page shown above is what you'll see whenever you log into the system, and has some useful features for you. You can get back to this page from anywhere by clicking the System Logo in the upper left corner.

  • On the right you'll see the System Updates from the previous week, listing New features, Improved areas of the system, and bugs and glitches that we have Fixed.
  • Need Assistance? On the left you'll see info on how to contact Support if you have something to report or a question on how to use the system. The more details you can provide, the better!
  • Below the support area is a Suggest button you can use to tell us your ideas for how we can make the system work better for you. We review your Insights daily and the ones with the most votes are the ones we work on first, so get in and let us know which improvement are the ones that will be the most impactful for you.

 

Favorites

You are able to set parts of the system you frequently use to appear in this convenient menu, accessible in the upper left from anywhere in the system. When you hover your cursor over the Favorites button, you'll see any you've saved in the flyout menu.

  1. Modules and Tools - Different major parts of the system, such as the main Products list page or the Work Orders module, can be saved as Favorites and will appear in the list on the left.
  2. Reports - For the reports you use most, you can get to them with a single click by saving them as Favorites, and they will appear in the list on the right side of the flyout menu.
  3. Custom Reports - Some reports, such as the Sales Details report, allow you to configure custom views that you can easily load again and that update over time. Any of those you've saved will appear below the list of standard reports on the right.
  4. Save Your Favorites - Click either one of the Manage links to load the Favorites page, where you'll be able to click Star buttons for the features and reports you want in your Favorites menu.

 

Register

Our on-screen Register module will allow you to sell your in-store items, and has a wealth of features detailed fully here (this link will open in a new browser tab for you). When you open the app, you'll be asked to choose a Till, and you may need to enter a Register PIN code. Once you're all set you can start your first transaction, like the one below.

 

Orders

You can work with Website Orders that have come through in the Orders area on the left. This tool allows you to fulfill your web orders, refund them, mark them as shipped, and print out orders as needed.

 

Inventory

If you hover over the Inventory area on the left, you'll see a flyout menu of many useful tools.

  • Assemble Kits - You can use the Assemble Kits module to combine multiple products into a single bundled product.
  • Batch Inventory - The Batch Inventory module allows you to collect quantity information and add it to the tool in batches that accumulate quantities so you can update your actual on-hand inventory numbers.
  • Bin Locations - If you want to define Bin Locations throughout your store, you can do so here and those will be available when creating products so you can assign them to whatever bin is appropriate.
  • Bulk - You can manage your products and inventory by spreadsheet in the Bulk area.
  • Departments - You can add or edit the Departments you use for organizing and reporting on your products.
  • Gift Cards - You can work with your Gift Cards (usable both online and in the Register), create any you might need for store use, and view a log of Gift Card events, if needed.
  • Packages - The Packages module will give you the ability to offer different combinations of products as package deals at a single combo price.
  • Precuts - You can use the Precuts module to break a product up into multiple products (e.g. you can create 4 quarter-yard Fat Quarters from a yard of fabric).
  • Products - In the Products area, you can create a New Product, access a searchable and filterable list of your Products, and do on-screen bulk edits, exports and imports to spreadsheets and purchase orders, label prints, and deletions, if needed.
  • Serialized - The Serialized inventory tool will let you adjust or add serial numbers to serialized inventory you sell.
  • Services - You can work with your Services you use in Work Orders, adding new ones and configuring them as needed.
  • Stones (not pictured) - This module allows you to work with your stock of Stones by cut, weight, type, etc. if you work with and sell precious stones.
  • Transfers - If you have multiple locations, you can do Transfers of inventory as needed between locations.

Modules

The Modules menu on the left will give you access to some important parts of the system:

  • Appraisals - Your Appraisals are available from here, and you can create new ones as needed.
  • Classes - You can access your Classes from here, and you can create and schedule them as needed.
  • Consignment - If you do Consignment selling, you can access your contracts and work with payouts here.
  • Form Styles - If you need to print documents at letter size, the Form Styles module allows you to configure unique receipts, invoices, work orders, etc. for each of your Locations.
  • Gift Registry - If you have Gift Registry active on your website, you are able to work with those lists here.
  • Invoices - For your Invoices, you can view the list and work with any of them in this area.
  • Layaway - The Layaways module lists your open Layaway agreements and you can open and work with them from there.
  • Live Selling - The Live Selling feature allows you to use social media in live events that can be a successful way to sell items.
  • Loaner - If you do Work Orders, you may want to keep track of any Loaner items you have out, and this module allows you to do so.
  • Online School Rentals - You can manage and work with your school rental contracts in the Online School Rentals module.
  • Payment Plans - If you offer Payment Plans for store-financed purchases, you can track and work with those agreements here.
  • Quotes - You can see the active list of saved Quotes in the system by clicking that link, and those are all saved directly in the Register.
  • Rental Contracts - You can see and work with open Rental Contracts if that part of the system is active for you.
  • Restricted Items - If you need to limit access to some of your inventory, you can configure that in the Restricted Items module.
  • Short Term Rentals - Your Short Term Rental functions are also here for you, allowing you to look up the Rental Status of any active Rental, view your Rental Calendar, and configure the system how you need it to work in the Rental Admin area.
  • Special Orders - The Special Orders page shows a list of all active Special Orders you've created from the Register, allowing you to open and work with them as needed.
  • Subscriptions - If you wish to do periodical Subscription sales, you can set that up in this area.
  • Trial Purchases - For some items, customers will want to do Trial Purchases to make sure the item will work for their preferences.
  • Work Orders - In the Work Orders module you can track and bill for any labor-based work, such as repairs.

 

Purchasing

The Purchasing section lets you work with all of your inventory ordering activities:

  • Customer Purchase Orders - If your store is a 'vendor' for organizations that purchase over time throughout a fiscal period from a budget, the Customer Purchase Orders module will allow you to facilitate those purchases, for products and for work orders, and invoice the client as needed.
  • Purchase Orders - You can access and work with your inventory orders from your vendors in the Purchase Orders module, creating new orders as needed.
  • Receiving Orders - You can use the Receiving Orders module to work with your list of orders, and you can create new ones out of PO's made in this system or from scratch if you've already sent in an order.
  • Vendor Consignment - If you do consignment selling with any of your vendors, you are able to track that and manage it through the Vendor Consignment module.
  • Vendor Return - When inventory arrives in an unsellable condition, or for whatever reason might come up, you are able to use the Vendor Return module to handle that inventory reduction in the system.
  • Vendors - Important contact information and a history of your vendor orders are available to you in your main Vendors list page. You can also start new inventory orders for a vendor when viewing their card from this list.

 

Customers

The system has excellent resources for working with your customers, from the main Customers list page where you can view one customer at a time, or bulk features and tools for groups and mailing lists in the Customer Filters area. Here are your options:

  • Customer Groups - If you have groups of customers with whom you need to work and communicate in different ways, such as club members or top customers, the Customer Groups module allows you to make as many groups as you need. You are able to add any number of your customers to a group and email to that group as often as you like.
  • Customers - Every website customer that orders from you and every Register customer for whom you create a customer entry will be listed on this page, with full details accessible and bulk features available if needed.
  • Filter Customers - If you like the idea of building marketing email lists based on the shopping history of your customers, this module allows you to do so and create as many filtered lists as you might need.
  • Tailored Product Lists - If you're working on a consultative sale that might take a few visits to close, the Tailored Lists area can allow you to save lists of such items for individual customers so you can track how it's going.

 

Website

Our website CMS (Content Management System) has robust tools for you to easily add and update the content you need. Here are your options:

  • Calendar - Our website Calendar allows you to schedule and display information on one-time or recurring events, and can be customized for specific areas, such as your individual locations or by topic, such as a calendar listing only your classes.
  • Categories - You can organize your products for display on the website using the Categories module. You can add sub-categories that go down any number of levels you might need.
  • Files - Our Files tool allows you to manage any files needed in the system, including documents such as PDF file, general files such as audio or video or executable files you might want to sell through your website, or the different images you use throughout the system.
  • Forms - You are able to create and publish website Forms in this module, and you can view responses and form submissions in bulk from here.
  • Navigation - You can create as many website Navigation menu links to pages and resources as you need and organize them into drop-lists under your header items in the main menu.
  • News - Let the world know about what's going on with your organization using the News module to post updates to your website as often as you like.
  • Pages - Create individual website Pages and manage their publication here. If you have a lot of pages, you can organize them in folders to make them easier to find and edit.
  • Store Locator - This tool is great for multi-location stores, allowing you to enter the locations of each of your stores and displaying them automatically on an interactive map you can display on your website.
  • Website Editor - Enter the Website Editor view of the system to update your website content and access all of the tools in this list, and more.

 

Marketing

Our Marketing modules offer a wealth of tools for helping you to reach out to customers and potential customers and sell them what you offer. Here are the tools:

  • Communications - Use this module to see how all messages sent out by you and your team and by the system were delivered.
  • Coupons - For both website and in-store promotions, create Coupons using this tool that allow discounts on all items or only specific ones.
  • Email List - Using this module you can build and manage any number of Email Lists you might need.
  • Email Newsletter - You can safely send Email messages to very large numbers of customers using this useful marketing tool.
  • Newsletter Archive - If your newsletters have content that is valuable long-term, showcase those newsletters in the Newsletter Archive, which organizes and offers them to your website visitors.
  • Request Review* - You can use the Request Review tool to send a review request by email or text to a satisfied customer.
  • Scheduled Sale - This useful tool allows you to plan pricing changes for your sales events and set prices to change on specific days and times you need.
  • Text Message* -  You can send Text Messages to your customers you've flagged to be eligible to receive marketing text messages from you using this simple tool.

Reports

The Reports area allows you great flexibility in how you view your sales and inventory data. Reports such as the End of Day, Transaction Detail, and Sales Details allow you many options in different ways you can filter your information. Other reports show you the current status in an area of the system, such as all current Class registrations and the current Inventory Value. The Reports page also has its own Favorites feature, so if you on the Reports button on the left, or click to View All, you can click Star buttons for the reports to which you need fast access.

  1. Report Favorites - This list appears here, and also appears up in the Favorites menu in the upper right, and if you hover your mouse over Reports and have any Favorites saved, you will see them there as well.
  2. Custom Report Configurations - The Sales Details report allows you to configure it in different ways and save different views you need. Items each user saves will appear only for that user in this area, as well as in the Favorites at the top, and when you hover over the Reports button.
  3. Star Buttons - Each report on the page has a Star button that allows you to set it as a Favorite. The favorites you save will only appear that way for you, and other users can set their own.

Moving Modules

Start by logging into the system and going to Website > Website Editor. Go to the page on your website where your content currently resides.

Many system modules don't need to be moved from one place to another, because the data they display or the function they perform is central to the system and is not stored on the page. For modules like this, all you have to do is place the new copy of the module on the page you want it, and then you can delete the old one. Here is a list of modules that are safe to delete and place a new copy in this way:

The modules that you would need to move manually, in the methods described below, require more effort and care in moving, so that you don't lose or disrupt the content. Here is a list of modules that would need to be moved manually:

  • Content
  • Gallery
  • Slideshow

The Gallery and Slideshow modules will have to be recreated on the new page from scratch: You'll need to take note of the images in each and the order in which they're listed, then go to the page where you want the new Gallery or Slideshow, add the module to the page (see below for how to do this) and re-load the images into the new module. In the case of the Gallery, you may want to take note of the Thumbnail Size you are using so the new Gallery will display in the same way as the original. In the case of the Slideshow, you would also need to recreate any Captions and Links you may have had in the original one.

 

Moving the Content Module

Your Content modules contain all of the custom-created content you've put on your site, such as paragraphs of text, images, even videos and maps. Using the steps below, we can make sure that when you move your module, it will look exactly the same and have all the necessary bits and pieces from the original. Here are the steps:

  1. Click Website > Website Editor.

  2. Go to the page that has the Content module you need to move.

  3. Click the Edit button on the Module Toolbar.

  4. In the Content Editor, click the Source Code button (just to the left of the Formats button).

  5. In the Source Code window, click to make sure the cursor is flashing anywhere in the code you see. You do NOT need to adjust or even understand any of what you see. In Windows, hold down your Ctrl key and hit the A to Select All. You will see all of the code in the window highlight, as pictured below. Then hold down Ctrl and hit the C to Copy. If you are working on an Apple computer, use Command-A and Command-C, respectively. You won't see anything happen, but everything selected is now ready and waiting to be pasted onto the new page.

  6. Click OK at the bottom of the Source Code window to close it, then hit the Back button on your browser to leave the Edit screen. Go to the page on your site where you want to move the module. If you need to create a new page, click here to learn how: Website Pages.

  7. In the upper left of the window, just below the Home icon in the blue Admin Toolbar, move your mouse over the triangle with the + and in the list that drops down, click Add Body Content. If your original module was in the Header or Footer area, choose the appropriate area to place the new one.

Report Bugs to Get the System Working for You

You can create support tickets by looking to the far right side of the blue Admin Toolbar and clicking on the ' ?' Help and then clicking to Report a Bug.

When you have an idea for a way our system can work better or if you have found part of the system that is not working right, you'll want to create a ticket for the support team to review so we can get to work for you. To start, on the far right of the blue Admin Toolbar click the Help button, then click Create a Support Ticket.

We have excellent support for you, and we answer most tickets the same day they are received, and in some cases, within the hour. 3) Want Fast Results? Give Us the Details - For any issue you send in, whether it's a request for new functionality or reporting a problem, we need specifics. How, exactly, do you want your new functionality to work? What items in the system, specifically, are examples of the problem you're seeing? The more detail you can give us, the better!

 

How to Format Your Ticket for Best Results

Do you want the fastest reply and the most spot-on information in the answer you get to your support ticket? The following guidelines have specific ideas for how you can send us what you need in a way that will help us serve you best.

Please remember, these are NOT things that you have to do, just ideas on what will help us get you the best results. As long as you are clearly communicating your needs, identifying yourself, and giving specific examples we can use, we'll be able to work with your request. Below is an example of a great way to give Support what we need to start advocating for you:

  1. Your Email - Enter the email you'd like to have our answers sent to for your support request.

  2. Subject Line - This is, in many ways, the most important part of your ticket. Ideally, we need to know four things in the Subject line:

  3. Type of Report - Are you reporting a bug? Is it some kind of glitch that you can't explain well? Are you needing a call back? The first word(s) of the subject line let us know the type of work we need to do for you. You can use Bug, Glitch, Call Back, Billing, or Question as your ticket type. If your request doesn't fit any of these, feel free to make up your own!

  4. Topic - What is the main topic of your request? Do you need a call back about setting up Navigation items on your website's main menu? Do you have a bug to report about our Products module? Make the topic as concise as you can (you'll be able to elaborate in the Description area, see below).

  5. Company Name - This lets us know who you are and can help us tell you apart from companies that might have names similar to yours.

  6. Customer ID - You can find this ID number under the Admin button with your Username in the upper right of the Admin Toolbar. Having this number helps us jump straight to your system so we can start helping you. It is also a great idea to have this number handy if you call in as well, so we can look you up quickly!

  7. Description - You can write as much as needed to let us know whatever it is you need. It's a good idea to give us your first name so we'll know how to address you. Make sure to give us specifics about whatever it is you need, detailed examples are best! A good way to make sure you're giving us what we need to help you is to ask yourself, "If I didn't know anything about this, what info would I need to help someone with it?"

  8. Submit - Before clicking this, double check what you've entered, make sure you've included all details. If you are attaching a file, make sure you see the attachment just above the Submit button, where it will list the file name. Click Submit whenever you're ready!

This is a good example of why specifics are important: there are two types of coupons in the system, Reward Coupons and product discount coupons in the Coupons module (under Products > Coupons). Also, we don't know who this client is and will have to spend a few minutes looking them up by their email address, wasting time that we could be using to solve problems for other clients. Lastly, since we don't know what kind of coupons are meant, we will need to send a reply to the client and ask them to clarify what they mean, which adds more time to the problem solving process.

The 'Good' subject line will allow us to give a complete answer to this client in the first reply, and we will know to whom we are speaking.

This is an example when the company name and Customer ID are extremely important. For billing related issues, and anything that relates to critical account information, letting us know exactly who you are helps us make sure we're making system changes for the right client. In this case, the subject line is clear on what is needed, but extra time on the call will be required for the support representative to find out who the client is and get into their billing information to change the card.

Also, for an issue like this, NEVER put your credit card information into a ticket in this system. Any updates like this will need to be handled over the phone, so either call in, or ask for a call from our billing department and we'll be able to safely help you get that updated.

In order to make a product eligible for Online Rental Contracts, it must:

  • Be a serialized product.
  • Have a Rental Profile specified on the Advanced tab of the product.
  • Have Item Conditions enabled.
  • Have Rental Pricing specified for both Monthly Payments and Purchase Price.

It is highly recommended, but not absolutely required, that the product:

  • Have Make, Model, and Year specified, where applicable.

Please be aware that if you are using Jewel360 Payments as your processor, the card the customer uses will automatically tokenize, and Autopay will begin automatically. But any Autopay charges will not begin until you have marked the contract as Active under Modules > Rental Contracts.

 

Online Rental Contract Settings

One step you'll need to do is to go to the Admin Button in the upper right and go to Settings > POS Settings > Rental Contracts. There are multiple areas on this tab you'll need to configure. Set Your Products to be Eligible for Online Rentals

Setting a Product to be Serialized

When viewing a product in its Edit view (you can open any product by going to Products > Products, searching for it, and then clicking on its Title), in the upper right, you will see the option to Track Serial Numbers. This setting is visible on all tabs of the product page. You MUST enable this setting when you first create a product or the system will not allow you to change it after the initial save. Please note in the image above, the toggle is grayed out and not active. Toggle this On for any new product you wish to be eligible for Online Rentals. Be sure to Save the product, if you don't have further adjustments.

 

Set a Rental Profile for a Product

In the Advanced tab for the product (you can open any product by going to Products > Products, searching for it, and then clicking on its Title), on the left side is an drop-list you can use to specify the Rental Profile you wish to use. You'll see all Rental Profiles you have saved in Settings > POS Settings > Rental Contracts. You can also select a Cost Depreciation Schedule, if you wish to do so. Be sure to Save the product, if you don't have further adjustments.

 

Enable Product Condition Levels

Products will not be able to display in the Online Rentals module unless you have Item Conditions enabled. To enable your item conditions, in the upper right click on the Admin Button > Settings. In the settings window, click POS Settings > Products. Once you have toggled Item Condition to ON, you will see a list of conditions like those displayed below. Check the boxes for all conditions you will possibly be using for your products. Once you are finished, scroll to the bottom of the page and click Save. You also have the option of having conditions active but not using condition pricing online, which is useful if you only sell new items online.

 

Specify Rental Pricing for Monthly Rental and Purchase Price

The final requirement is setting your pricing for the item rental at your different condition levels. You will also need to set purchase price whether it is something you would also sell outright or not. Only the condition levels you have selected in the settings will display in your list. To set your pricing, in the Product Information tab, scroll down to the Conditional Pricing area and on the right click the Pricing Details button and change it to Rental Pricing Details. You'll be able to enter your different Payment Amount and Purchase Price as well as your preference on the Minimum Payments new contracts should have for the condition levels. If you have multiple store locations the option to Apply to All Store Locations will pop up for all items you enter here.

 

Enter Make, Model, and Year

You are likely already using these fields for your items, but if not, it is highly recommended (although not absolutely required) that you do so. To enter Make, Model, and Year for an item go to the Product Information tab and you'll see the fields below where you set the Vendor. Enter the information, then at the bottom click Save, if you don't have further edits to make. If you choose not to enter this information, the system will still list the product in your Online Rentals module.

 

Put The Rentals Module on Your Website

When your products are set as needed and you're ready to start renting, here is how to put the Rentals module on your website:

  1. Hover over Website and click on Website Editor.
  2. Go to the page where you want to show your rental items.
  3. Click +Add Content and in the list that pops up, click on Add Body Content.

  1. In the list of modules, scroll down to the gray area that contains the various product modules and click the Add button for the Rentals module.

Rental Checkout Experience

Your customers will now be able to go to that page and start an Rental Contract with you. For each product, the options they see on the web page will correspond to the Rental Profile set for that product, so in the example below, we see options for both the Maintenance Fee and the Protection Fee. Here is what the customer will see once they have made their selections. At any time, they can click on the Terms and Conditions link to read that statement, but they cannot proceed with the rental until they have agreed to it. As you can see, important terms are listed for them just above the Add to Cart button.

From that point forward, they check out in the normal way through the website shopping cart. The contract will automatically appear in your Rental Contracts list under the POS menu in the blue Admin Toolbar, and you can manage it in as you do your other contracts from there.

While an online Rental Contract is still Pending, you are able to open it in Modules > Rental Contracts and change the serial number of the item, if needed. Once it is Active, however, the item will be set in the contract.

Have a Rental Profile specified on the Advanced tab of the product. Have Item Conditions enabled. Have Rental Pricing specified for both Monthly Payments and Purchase Price. It is highly recommended, but not absolutely required, that the product: Have Make, Model, and Year specified, where applicable. Please be aware that if you are using Jewel360 Payments as your processor, the card the customer uses will automatically tokenize, and Autopay will begin automatically. But any Autopay charges will not begin until you have marked the contract as Active under Modules > Rental Contracts. Online Rental Contract Settings One step you'll need to do is to go to the Admin Button in the upper right and go to Settings > POS Settings > Rental Contracts. There are multiple areas on this tab you'll need to configure. Click here to see full details about how to set up this part of the system (this link will open in a new tab for you): Point of Sale Settings: Rental Contracts Set Your Products to be Eligible for Online Rentals Setting a Product to be Serialized When viewing a product in its Edit view (you can open any product by going to Products > Products, searching for it, and then clicking on its Title), in the upper right, you will see the option to Track Serial Numbers. This setting is visible on all tabs of the product page. You MUST enable this setting when you first create a product or the system will not allow you to change it after the initial save. Please note in the image above, the toggle is grayed out and not active. Toggle this On for any new product you wish to be eligible for Online Rentals. Be sure to Save the product, if you don't have further adjustments. Set a Rental Profile for a Product In the Advanced tab for the product (you can open any product by going to Products > Products, searching for it, and then clicking on its Title), on the left side is an drop-list you can use to specify the Rental Profile you wish to use. You'll see all Rental Profiles you have saved in Settings > POS Settings > Rental Contracts. You can also select a Cost Depreciation Schedule, if you wish to do so. Be sure to Save the product, if you don't have further adjustments. Enable Product Condition Levels Products will not be able to display in the Online Rentals module unless you have Item Conditions enabled. To enable your item conditions, in the upper right click on the Admin Button > Settings. In the settings window, click POS Settings > Products. Once you have toggled Item Condition to ON, you will see a list of conditions like those displayed below. Check the boxes for all conditions you will possibly be using for your products. Once you are finished, scroll to the bottom of the page and click Save. You also have the option of having conditions active but not using condition pricing online, which is useful if you only sell new items online. Specify Rental Pricing for Monthly Rental and Purchase Price The final requirement is setting your pricing for the item rental at your different condition levels. You will also need to set purchase price whether it is something you would also sell outright or not. Only the condition levels you have selected in the settings will display in your list. To set your pricing, in the Product Information tab, scroll down to the Conditional Pricing area and on the right click the Pricing Details button and change it to Rental Pricing Details. You'll be able to enter your different Payment Amount and Purchase Price as well as your preference on the Minimum Payments new contracts should have for the condition levels. If you have multiple store locations the option to Apply to All Store Locations will pop up for all items you enter here. Enter Make, Model, and Year You are likely already using these fields for your items, but if not, it is highly recommended (although not absolutely required) that you do so. To enter Make, Model, and Year for an item go to the Product Information tab and you'll see the fields below where you set the Vendor. Enter the information, then at the bottom click Save, if you don't have further edits to make. If you choose not to enter this information, the system will still list the product in your Online Rentals module. Put The Rentals Module on Your Website When your products are set as needed and you're ready to start renting, here is how to put the Rentals module on your website: Hover over Website and click on Website Editor. Go to the page where you want to show your rental items. Click +Add Content and in the list that pops up, click on Add Body Content. In the list of modules, scroll down to the gray area that contains the various product modules and click the Add button for the Rentals module. You will see the module appear on the page. If you want to adjust the heading, click the gear-shaped Settings button on the module's small, gray toolbar. Enter the text you want, then click Save. Rental Checkout Experience Your customers will now be able to go to that page and start an Rental Contract with you. For each product, the options they see on the web page will correspond to the Rental Profile set for that product, so in the example below, we see options for both the Maintenance Fee and the Protection Fee. People like free stuff, so give them what they want. Write a tutorial or create a video of tips and tricks that people in your market will find useful and make it available for free. Offer free shipping. If it’s not cost-effective to do it on all of your orders, find an order amount over which you can offer it. Providing freebies can position you ahead of the competition.

 

Inspire Impulse Buys

Studies estimate that roughly 20% of online purchases are impulse-driven. Consider the placement of candy bars and drinks at store checkout lanes. That strategic product placement leads to impulse buys. You can mimic this by placing a Featured Products module below the page content, or somewhere in the middle. A good example is the Before and After sample pages below. Every page on your site should show your visitor some of your products. If they don't see it, they won't buy it.

In Jewel360, the URL changes when you rename something like an event, class, product, or category. That’s not a big deal if it’s a new page or category, but can be disastrous for established categories and pages. One small change can leave you with a new URL for every product on a page. Here are two great reasons why you want to avoid this.

    • To search engines, a new URL is a brand new web page with zero search relevancy. Don't reset your search engine ranking by changing your URLs.

    • Loyal customers bookmark their favorite pages. The next time they use their bookmarks to restock their favorite widget, all they’ll get is an error message.

Accessing Your Orders

Once your Orders page has loaded you will see the past 30-days view of the web orders that have come through for you. Your initial view will show orders that are still needing you to work with them.

Here are the functions in the Orders module interface:

  1. Load Transaction - If you have copied a Transaction ID, you can paste it in here and click Open and it will directly open the order. There is also a search if you have an IPN Event Log ID, you can load a transaction from that code by clicking the corresponding Open button.

  2. Search - You can search by Customer Name, Phone, or Transaction ID number. Please note that you can enter your search terms and hit the Enter button on your keyboard to refresh the results, or you can click the Show Orders button, if you like.

  3. Date Range - You can enter a Start Date and an End Date, then click Apply to view whatever Date Range of web orders with which you wish to work. By default, it will show the past 30 days.

  4. Status - By default, the system will display orders that have Action Needed, but in this list you can change the view so you can just see All of your orders. You can also view your Orders in the following Statuses:

    • Abandoned Carts - This will display information for shoppers who started the checkout process but left the page without completing their orders for whatever reason. This is informational only; you can't complete those orders, although you may want to include such shoppers in your marketing efforts. Just understand that some of them may be people who have not voluntarily joined your marketing list, so use discretion in your communications with them.
    • Payment Pending - If you have your shopping cart set to the Authorization method of checkout, the card will be pre-authorized for the amount of the order, but the charge won't go through until you click to Capture the funds. Such orders will come to you initially in this Payment Pending status.
    • Payment Received - This is the default status that loads whenever you first open the Orders module. It will display all orders for which payment has successfully gone through during whatever date range you are viewing.
    • In Process - This is fulfillment status you can manually set for an Order. It is meant to denote any orders you are actively working on fulfilling.
    • Shipped / Picked Up - Once you have actually sent the package for the order, setting this fulfillment status will let you know that it is completely done. You are able to manually set this status, as well.
    • Shipped to Store - If the inventory had to be moved to a different store location, you can set this status for your orders and view them with this filter.
    • Ready for Pickup - You can set this status for orders that are fully assembled and ready to be picket up at the store location, and use this filter to find them within your selected date range.
    • Voided - A Voided order is one that is completely cancelled. If your processing solution is integrated, you will be able to Void orders, and that will completely reverse the charges and replace the inventory. For orders with processing that is not directly integrated, you can still set them as Voided in our system, but you'll need to log into your account with the processor (e.g. PayPal) to void the order there.
    • Refunded / Returned - A Refunded order is one in which one or more items from the original order have been returned or part of the charges, e.g. shipping, were refunded for whatever reason. Prior to the payment for the Order being completed, you can adjust item quantities when Viewing the order and set it to this status. After the order is completed, you can go to the End of Day report, access the order, and click to Return items. The order will update automatically when you do so. Scroll down to the section on Register Returns and look at the third bullet-point option for accessing transactions through Reports.
    • Canceled - You are able to Cancel orders from the order view, and using this filter you can view all transactions that have been canceled in your selected date range.
    • Completed - These are orders that have been shipped and for which the payment has been processed and there is nothing left to do for the order.
  5. Channel - This drop-list will allow you to filter search results for the following possible channels, depending on what integrations and parts of the system you use: Web, Register, Subscription (not pictured), Locally (not pictured), Reverb, Shopify, or All transactions.

  6. Locations - If you have multiple store Locations set in the system that process web orders separately, you can specify which Location's orders you want to view using this drop-list.

  7. Shipping Method - If you need to work with a specific group of Shipping Method options, for example, Store Pickup at a certain location, this filter will allow you to specify one and work with just those orders.

  8. Pickup Location - If you choose a Shipping Method for Store Pickup or Curbside Pickup, you can use this filter to specify the specific store Location you want. It will remain grayed out until you select a pickup method.

  9. Show Orders Button - You will need to click this button any time you change a Status or Date or any time you put in a search term. This button refreshes the view with the new parameters.

  10. Bulk Actions- You can use the check-boxes next to each line-item transaction in the search results in combination with these functions to Print Orders, which allows you to print a Packing Slip and/or a Pick List for the selected orders. Packing Slips are great to include in the order packaging (and a hard-copy for your records is also a good idea) and Pick Lists will give you a list of all items you'll need to pull from your floor inventory for the selected orders, so you don't have to keep going back and forth for what you need. You also have the option to set the selected orders Statuses to In Process if they are ready. The final option is that for any orders selected that are In Process already, you can set them to Shipped, which will save you a lot of clicking if you fulfill multiple orders at a time. When working with bulk-selected items, you can use the Clear Selected button to deselect all orders.

  11. Download CSV - Clicking this button will download a .CSV file of whatever orders you are currently viewing in the Orders module. This type of file will open in any spreadsheet program.

  12. Check Boxes - Use these boxes to select multiple orders to which you want to apply Bulk Actions. You can use the check box in the column header to Select All or Clear All line items.

  13. Transaction ID - You can click this link for any Order and it will take you to the Order Details view, where you can work with the order on payment details, fulfillment, shipping, and item quantities.

  14. Line Item Actions - You can open this action list to either View the transaction in its Order Details view, or Print directly from this screen.

 

Order Detail View

Once you have clicked to View an order, it will open it in the Order Details screen. Please note that in the examples below, for privacy reasons, the critical details have either been replaced with false data or redacted. Here are the various functions in this area:

  1. Transaction - This area shows the internal Transaction ID our system created for the order, which is one of the ways you can search for specific orders. It will also detail how the order came through, who the processor was, and whatever identifying code the processor assigned to the order.
  2. Payment Details - This area will vary slightly by processor, see examples below, but in all cases you'll have the ability to Capture funds on authorized orders and Void integrated processing orders (such as the Rain Payments order example below), or mark PayPal orders as Voided. We've taken care to spell out exactly what each of these functions will do for your orders, so read carefully before proceeding. Here is what you'll see when you click the Update button for Payment Status on an order:

 On orders for which you have received a completed payment, you will have the option to Refund. Refunding from here will return all funds charged for the order. If you use the Rain POS, you can open the transaction in the Register and return specific items or partial shipping, if needed.

  1. Fulfillment - This area is where you can track and update the Status of an order. As soon as you open a new order and click the Update button for Fulfillment, you'll have the option to mark the Order as In-Process. Please note that this won't change the payment status (from Pending or Payment Received, etc.). As you progress through fulfilling the order, you can move the order from In-Process to Shipped as soon as you have sent the package. You also have the ability in this panel to Re-send the Email Receipt to the customer, if needed.

  1. Shipping - You'll get a summary of the shipping details for the order in this area. Clicking the Update button will show you the following for integrated processing orders:

You are able to change the Shipping Method to an equal or lesser one, if one is available (the system will not allow you to charge the customer more than the authorized amount), or you can Manually Set the Shipping Amount if it hasn't already been charged. After changing either of those fields, click on the respective Update button to update that area. After the shipping has been charged, if you track your orders, you'll be able to enter Tracking information near the bottom of this panel. More below on Tracking your orders:

For orders you are Tracking, the above information will display on the main Order Details screen. When you click to Update the Shipping for an order where the charges have gone through, you will see a panel like the following, and in this example, the tracking is already in place:

Clicking on the Tracking ID will link to the carrier's summary page tracking the order to display the carrier's information on where the order currently is. 5. Hide / Show ImagesPrint, and Notes - You have the option of clicking to Hide Images if you are planning on printing out the order as a packing slip so your printer doesn't waste ink or toner. You can also Print the order info from here. Note that for Gift Orders, you are also able to either Show Prices or Hide Prices (default) so that the printout and any emails the system sends will be gift-friendly. The Customer will set whether it is a standard order or a gift when placing the order. You can also see any Notes that have been added to the transaction, and you can add new Notes if needed.   1. Edit Shipping Address and Contact Info - You are able to Edit the Shipping Address and Contact Info on the order, in case of a typo. Just click on the corresponding blue pencil icon. This remains true even after the order is completed.
  2. Edit Quantity - You can click the blue pencil icon to Edit Quantity on any line item, but the system will not allow you to increase the dollar amount of the order past the Authorized amount.
  3. Edit Shipping Total - If you have not yet collected the funds for the order, you can adjust the Shipping total here downward from the authorized amount, if needed.
  4. Recalculate Order Total - If you have made changes to quantities or to the shipping fee, you can click this button to recalculate the order total.

Accessing Your Orders Once your Orders page has loaded you will see the past 30-days view of the web orders that have come through for you. Your initial view will show orders that are still needing you to work with them. Here are the functions in the Orders module interface: Load Transaction - If you have copied a Transaction ID, you can paste it in here and click Open and it will directly open the order. There is also a search if you have an IPN Event Log ID, you can load a transaction from that code by clicking the corresponding Open button. Search - You can search by Customer Name, Phone, or Transaction ID number. Please note that you can enter your search terms and hit the Enter button on your keyboard to refresh the results, or you can click the Show Orders button, if you like. Date Range - You can enter a Start Date and an End Date, then click Apply to view whatever Date Range of web orders with which you wish to work. By default, it will show the past 30 days. Status - By default, the system will display orders that have Action Needed, but in this list you can change the view so you can just see All of your orders. You can also view your Orders in the following Statuses: Abandoned Carts - This will display information for shoppers who started the checkout process but left the page without completing their orders for whatever reason. This is informational only; you can't complete those orders, although you may want to include such shoppers in your marketing efforts. Just understand that some of them may be people who have not voluntarily joined your marketing list, so use discretion in your communications with them. Payment Pending - If you have your shopping cart set to the Authorization method of checkout, the card will be pre-authorized for the amount of the order, but the charge won't go through until you click to Capture the funds. Such orders will come to you initially in this Payment Pending status. Payment Received - This is the default status that loads whenever you first open the Orders module. It will display all orders for which payment has successfully gone through during whatever date range you are viewing. In Process - This is fulfillment status you can manually set for an Order. It is meant to denote any orders you are actively working on fulfilling. Shipped / Picked Up - Once you have actually sent the package for the order, setting this fulfillment status will let you know that it is completely done. You are able to manually set this status, as well. Shipped to Store - If the inventory had to be moved to a different store location, you can set this status for your orders and view them with this filter. Ready for Pickup - You can set this status for orders that are fully assembled and ready to be picket up at the store location, and use this filter to find them within your selected date range. Voided - A Voided order is one that is completely cancelled. If your processing solution is integrated, you will be able to Void orders, and that will completely reverse the charges and replace the inventory. For orders with processing that is not directly integrated, you can still set them as Voided in our system, but you'll need to log into your account with the processor (e.g. PayPal) to void the order there. Refunded / Returned - A Refunded order is one in which one or more items from the original order have been returned or part of the charges, e.g. shipping, were refunded for whatever reason. Prior to the payment for the Order being completed, you can adjust item quantities when Viewing the order and set it to this status. After the order is completed, you can go to the End of Day report, access the order, and click to Return items. The order will update automatically when you do so. To see more about how to process Returns, click here: More Register Operations: Returns, Exchanges, and Voids. Scroll down to the section on Register Returns and look at the third bullet-point option for accessing transactions through Reports. Canceled - You are able to Cancel orders from the order view, and using this filter you can view all transactions that have been canceled in your selected date range. Completed - These are orders that have been shipped and for which the payment has been processed and there is nothing left to do for the order. Channel - This drop-list will allow you to filter search results for the following possible channels, depending on what integrations and parts of the system you use: Web, Register, Subscription (not pictured), Locally (not pictured), Reverb, Shopify, or All transactions. Locations - If you have multiple store Locations set in the system that process web orders separately, you can specify which Location's orders you want to view using this drop-list. Shipping Method - If you need to work with a specific group of Shipping Method options, for example, Store Pickup at a certain location, this filter will allow you to specify one and work with just those orders. Pickup Location - If you choose a Shipping Method for Store Pickup or Curbside Pickup, you can use this filter to specify the specific store Location you want. It will remain grayed out until you select a pickup method. Show Orders Button - You will need to click this button any time you change a Status or Date or any time you put in a search term. This button refreshes the view with the new parameters. Bulk Actions- You can use the check-boxes next to each line-item transaction in the search results in combination with these functions to Print Orders, which allows you to print a Packing Slip and/or a Pick List for the selected orders. Packing Slips are great to include in the order packaging (and a hard-copy for your records is also a good idea) and Pick Lists will give you a list of all items you'll need to pull from your floor inventory for the selected orders, so you don't have to keep going back and forth for what you need. You also have the option to set the selected orders Statuses to In Process if they are ready. The final option is that for any orders selected that are In Process already, you can set them to Shipped, which will save you a lot of clicking if you fulfill multiple orders at a time. When working with bulk-selected items, you can use the Clear Selected button to deselect all orders. Download CSV - Clicking this button will download a .CSV file of whatever orders you are currently viewing in the Orders module. This type of file will open in any spreadsheet program. Check Boxes - Use these boxes to select multiple orders to which you want to apply Bulk Actions. You can use the check box in the column header to Select All or Clear All line items. Transaction ID - You can click this link for any Order and it will take you to the Order Details view, where you can work with the order on payment details, fulfillment, shipping, and item quantities. Line Item Actions - You can open this action list to either View the transaction in its Order Details view, or Print directly from this screen. Order Detail View Once you have clicked to View an order, it will open it in the Order Details screen. Please note that in the examples below, for privacy reasons, the critical details have either been replaced with false data or redacted. Here are the various functions in this area: Transaction - This area shows the internal Transaction ID our system created for the order, which is one of the ways you can search for specific orders. It will also detail how the order came through, who the processor was, and whatever identifying code the processor assigned to the order. Payment Details - This area will vary slightly by processor, see examples below, but in all cases you'll have the ability to Capture funds on authorized orders and Void integrated processing orders (such as the Jewel360 Payments order example below), or mark PayPal orders as Voided. We've taken care to spell out exactly what each of these functions will do for your orders, so read carefully before proceeding. Here is what you'll see when you click the Update button for Payment Status on an order: On orders for which you have received a completed payment, you will have the option to Refund. Refunding from here will return all funds charged for the order. If you use the Rain POS, you can open the transaction in the Register and return specific items or partial shipping, if needed. Fulfillment - This area is where you can track and update the Status of an order. As soon as you open a new order and click the Update button for Fulfillment, you'll have the option to mark the Order as In-Process. Please note that this won't change the payment status (from Pending or Payment Received, etc.). As you progress through fulfilling the order, you can move the order from In-Process to Shipped as soon as you have sent the package. You also have the ability in this panel to Re-send the Email Receipt to the customer, if needed. Shipping - You'll get a summary of the shipping details for the order in this area. The Website Settings Email Tab

You can get to this part of the system by clicking on the Admin Button with your username in the upper right and then go to Settings > Website Settings > Email.

As you work on your settings, in each tab, you need to remember to click the Save button at the bottom of the screen before you move on to another tab or screen, or you will lose your work.

 

Settings for Email

Here are the settings you will need to configure:

  1. 'From' Email Address - If you read the warning pictured below, you can see that your 'From' Email Address can't be facilitated by one of the big free email providers such as Gmail, AOL, Yahoo, etc. The reason you can't use one of those providers is that bulk email coming from a free account like that is exactly how online scammers operate, and your messages will be blocked by most all email providers if you did this.
  2. Physical Email Marketing Address - The CAN-SPAM laws (yeah, not a joke; that's a real, official thing) require that every bulk email message has to have a physical address for the sender listed in the message, along with an unsubscribe link. So the address you enter into this field needs to be a street address and cannot be a PO box.
  3. Welcome Email Subject - Your Welcome Email is the auto-response email the system will send out every time someone fills out your Newsletter Signup form (see section below on the Newsletter Signup Module). The Welcome Email Subject is the first thing they will see from you, so make sure you word the statement to be a truly warm welcome.
  4. Welcome Email Message Body - This area is where you have the ability to give your new subscriber some kind of reward for joining up with you. This can take the form of a coupon code you create so they can get a discount on a web order (to learn more about working with Coupons, click here: Coupons), or it can be a link to some kind of download, like the example below (click here to learn how to link to a file: How to Create Links to Pages, Files, and Email Addresses). Your message should let the subscriber know how often they can expect to receive mail from you, and a rough idea of the kind of content you'll be sending.
  5. Save - Be sure to click Save if you made any changes!

Please Note: If you will be using a third-party bulk email service such as Constant Contact or MailChimp, you will not need to set up your Welcome Email Message, but you WILL need your 'From' email address and Physical Address entered here since the system will send notifications and other email messages for you. You can get to this part of the system by hovering over Website in the main menu on the left and then clicking Files.

Files in your system include every image you've ever uploaded to the server (these will all be under the Images folder in the Files section) and every kind of document file you've uploaded, such as PDF files and perhaps Word files. The system can link to files so that your visitors can download them, as we do with PDF files, or in the case of images, it can display them on your pages wherever you need them and at whatever size you need them. The Files part of the system allows you to upload and manage your files, and you can upload documents and general files up to 100mb in size. Images will upload if they are less than 3000 pixels and less than 4mb in size.

 

Managing Your Files

You can create folders if you need to organize larger numbers of files. For your files, you might want to organize your Product image files into folders based on the categories of products you have, or just by manufacturer, whatever works best for you. This is not necessary, but can help you get to an image more quickly if you can't remember the product title or if the image doesn't have that in the file name.

You can also work with the folders by using the pop-up menu for them (see the image above). To access this menu, if you are a Windows user, simply right-click on the folder with which you want to work. If you are a Mac user, Ctrl+Click will pop it up for you. You can do any of the following things from the pop-up menu:

  • Edit - You can change the folder name with this function, this option appears only if you created the folder (system folders show the options you see in the image above).
  • Upload File - You can upload any file directly to this folder with this option.
  • New Folder - You can create a sub-folder under the current folder with this option.
  • Delete - You can delete the current folder with this option as long as it is a folder you created.  As with all system deletions, you will be asked to confirm that you really want to delete the folder before the system will do so.  If there are any sub-folders under the currently selected folder, they will not be deleted, but instead will move up to the same level as the currently selected folder that you are deleting.

 

Working With Files

Here are the features of our File Browser:

  1. Upload File - Click this to launch our File Uploader (see below) to load up to 500 files at once.
  2. Upload from Camera - Click this button to open a window that will allow you to load images from external devices like smartphones, cameras, and tablets.
  3. Search- Search all files in the current folder and any subfolders under the current one by all or part of the file name.
  4. New Folder - Creates a new folder under the current one. You will be prompted to enter the title of the new folder and then you can save it and begin loading loading files.
  5. Sort - By default, the file browser will show the latest files uploaded first. This is convenient, because whenever you upload new files, they will always be at the top of the list. You can click to have it sort alphabetically instead, if you prefer.
  6. Select - Clicking on the image or file name will load the image if you are working in a content module and loading the file onto one of your pages or if you are linking to it (all applications use this same interface). Under Website > Files > Images, clicking on the image or on its file name below will let you edit the name, and you can click to View the file in a new browser tab if it's an image.
  7. File URL - For creating or sharing links to a file or image, you can highlight and copy the full URL.
  8. Delete - If you move your mouse over any image, you will see the Delete button appear. As with all deletions, a warning will pop up to make sure you really want to delete the item. When working with Documents, the delete button is an X on the far right side of the document's title bar. Please note: deleting a file in this way will only remove it from your folder. The file itself will remain on the server and any links to it will continue to work.

 

File Uploader

Our File Uploader is a big time saver for you, allowing you to upload any number of documents or images at once, up to five-hundred at a time. Here are the features of the Uploader:

Add Files - Search your computer and either double click on a file you want to add to the upload list, or you can select multiple files in the same folder and add them all at once. Click this button again to add files from other locations on your computer, as many as you need. You can also drag and drop files, either individually or as a selected group, directly into this window to add them to the upload list.

Start Upload - When you can see all of the files you plan to upload in the list, click this button to begin the upload. You will see progress bars for each file individually as well as an overall progress bar for the entire upload. Once it is finished, the Uploader will close, and you will see your files at the top of the list in their folder.

Cancel - If you accidentally added an item to the upload list that you do not need to upload, you can clear it from the list with this button.

 

Productivity Tip: If you know you will be working with a large number of files during your work session, upload all of them at once before you start your work so they will all be at the top of the list.
